Treatment plans
Plan treatment item by item, use templates, record the patient's decision, track progress tooth by tooth, and let patients review the plan at home.
A treatment plan lists the treatment a patient needs: each item is a service from your list, usually for a tooth, with a price. Plans are how you present costs, record the patient's agreement, and track multi-visit treatment until it's finished.
Creating a plan
A plan is created from a consultation that is In Progress or Completed, one plan per consultation:
- Open the consultation and create the treatment plan, or
- In Quick Visit, put items in the Plan section and save, or
- From the dental chart, Add chart findings to treatment plan.
Plan details you can set (with Edit):
- Priority: Low, Medium, High or Urgent.
- Valid until: the date the quoted prices are valid until. After it, an unaccepted plan becomes Expired.
- Estimated completion date.
- Notes.
Adding items
Under Treatment items, click Add item:
- Service: from your services list. The current price is copied into the plan, so later price changes don't alter this plan.
- Tooth number: FDI, for example
16. - Tooth surface, for example occlusal.
- Sequence number: the order to do things in.
Templates
Apply template adds every item from a saved bundle in one go, for example "Root Canal + Crown". Create templates in Treatment Plan Templates (name, description, then the services). If some items can't be added (for example a service that's been deactivated), you'll see how many were added and how many failed.
Presenting the plan and recording the decision
| Button | What it records |
|---|---|
| Propose | The plan has been presented to the patient for approval |
| Accept | The patient agreed |
| Accept for patient | The patient is here and agrees on the spot: proposes and accepts in one click. Both steps are still recorded |
| Decline | The patient said no. Final. Make a new plan if the advice changes |
| Start | Treatment has begun |
| Complete | All treatment is done |
| Cancel plan | Withdrawn by the clinic. Can't be undone |
Some actions, such as marking items done, only unlock once the plan is accepted: "Accept the treatment plan first to unlock this."
Plan statuses
Draft → Proposed → Accepted → In Progress → Completed, or Declined, Expired (past Valid until without a decision) and Cancelled.
Tracking items
Each item has its own status:
| Item status | Meaning |
|---|---|
| Pending | Not started |
| Scheduled | An appointment is booked for it |
| Multi-visit | Started, needs more sittings (for example a root canal mid-way) |
| Completed | Done |
| Cancelled | Removed from the plan. Items are never deleted, for the record |
Marking items done
Click Mark as Done on an item, or on the toolbar for several at once. For each item choose:
- Fully done today: marks it Completed.
- Needs another visit: marks it Multi-visit.
Set Performed by and Performed at, then save. A procedure is recorded for each, ready for billing. Quick Visit does this for you when you add items to Done today or Continue treatment.
Documents on a plan
Attach X-rays or lab reports to the plan with Upload under Documents.
The patient's copy
When a plan is proposed and not yet decided, the treatment plan follow-up (if switched on) sends the patient a WhatsApp message with a private link to their plan. The page shows each treatment in plain words, the visits, prices and the amount per visit, in English, हिंदी or मराठी, so they can decide at home with family. The link needs no login and stops working after 120 days or if the plan is cancelled.
Reminders that help plans get finished
- Treatment plan follow-up: one message a set number of days after a plan is proposed and still undecided.
- Recall: one message per pending plan item, a set number of days after the last visit.
- Unfinished treatment reminder: one message when a multi-sitting treatment is in progress with no next visit booked.
All are switched on per clinic in Clinic Settings → Preferences. The mobile app's Half-done treatments screen lists these patients so you can Book next sitting.
