Leads (enquiries)
Track people who called, messaged or walked in but aren't patients yet, and turn them into patients.
A lead is someone who has shown interest in your clinic but isn't a registered patient yet: a caller asking about braces prices, a WhatsApp enquiry, a walk-in who wanted to "think about it", or a request from your clinic website.
Logging leads means nobody falls through the cracks, and you can see where your new patients come from.
The Leads page
Go to Leads in the sidebar. The page lists "Calls and inquiries that haven't become patients yet", with tabs by status and a Search by name… box.
Each lead has a status:
| Status | Meaning |
|---|---|
| New | Logged, nobody has followed up yet |
| Contacted | Someone at the clinic has spoken to them |
| Converted | They became a patient (the lead links to the patient record) |
| Lost | They didn't come, with an optional reason |
Logging an enquiry
- Click Log an inquiry.
- Enter the person's name and mobile number.
- Under How did they get in touch?, choose Walk-in, Phone call, WhatsApp, Online booking or Referral.
- Add a Note if useful, for example "Asking about braces pricing".
- Save. You'll see "Lead logged."
Requests from your clinic website arrive automatically as Online booking leads. Their note includes the day and time the person prefers and what they need help with.
Following up
On each row of the list:
- Mark contacted — you've called or messaged them back.
- Convert — they're coming in; register them as a patient (below).
- Mark lost — they're not coming. Optionally record why (for example "Went with a different clinic"). This helps you spot patterns.
Converting a lead into a patient
- Click Convert on the lead.
- The Convert to patient form opens with the name and phone already filled in.
- Fill in Gender and Preferred contact channel, and anything else you know.
- Tick the data-processing consent box. It's required, as for any new patient (see Patient consent). The messages-consent box is optional.
- Save. You'll see "‹Name› converted to a patient." and the lead moves to Converted.
From there, book their first appointment as usual.
Where leads come from
| Source | How the lead is created |
|---|---|
| Walk-in, Phone call, WhatsApp, Referral | Staff log them with Log an inquiry |
| Online booking | Automatically, from the appointment request form on your clinic website |
Leads on the mobile app
The Leads tab in the Android app shows the same list, with Log inquiry, Mark contacted, Convert and Mark lost, so the front desk can work enquiries from a phone.
