Quick Visit

Record a whole visit on one screen — complaint, diagnosis, treatment done, plan, medicines and next visit — then check it once and save.

ForDoctorClinic Admin

Quick Visit is the fastest way to record a patient's visit. Everything goes on one screen, and one save creates all the records together:

  • the consultation (complaint, findings, diagnosis),
  • procedures done today (which also update the dental chart),
  • the treatment plan for what's still to come,
  • the prescription,
  • the next visit booking,
  • the hand-off to the front desk for billing,
  • and any consent forms the treatment needs.

You can fill it in yourself by typing and tapping (works on every plan, no AI needed), or talk to Bee, the assistant, and let it draft the visit for you (on plans with AI). This page covers the flow. The two ways of filling it in have their own guides:

Starting a Quick Visit

  1. Click Quick Visit in the sidebar, on the dashboard, or on a patient's page.
  2. Find the patient by name, number or phone… and pick them. New patient? Click Register new patient.
  3. Quick Visit loads the patient's history ("Getting the patient's history…") and opens the visit.

Practice mode

Tick Practice mode on the start page to try Quick Visit on any patient. The whole flow works, but nothing is saved at the end. Use it for learning and demos.

The Quick Visit screen

On a wide screen there are two columns (drag the divider to resize them). On a phone they stack.

The patient side shows what you need to know before you start:

  • Medical alerts: allergies and conditions. Quick Visit checks medicines and surgery against these.
  • What's ongoing: unfinished treatment plans, with Doing any of these today?
  • The last visit's complaint and diagnosis, what was Done, Planned and still Missing.
  • Doctor for this visit: if the patient has no appointment today, the visit is saved as a walk-in for the doctor you choose here.

The visit side is the draft, in sections:

SectionWhat goes in it
ComplaintWhy the patient came, for example "Pain in lower left back tooth since 3 days"
DiagnosisYour findings and diagnosis, per tooth where relevant
Done todayProcedures performed in this sitting, with tooth numbers
PlanTreatment still to do, which becomes or extends the patient's treatment plan
MedicinesThe prescription
Next visitWhen the patient should come back, booked into the diary when you save

Each section shows its status (Nothing yet, a count, or a warning). Fold away a section you're done with.

Warnings Quick Visit gives you

As you add things, Quick Visit checks them and shows a warning on the item:

  • Allergy / medical alert: a medicine or procedure that conflicts with the patient's recorded alerts (for example amoxicillin with a penicillin allergy).
  • Duplicate: the same thing added twice.
  • Consent recommended: the treatment usually needs a signed consent form. The warning turns into a tick once the form is signed.
  • Missing tooth number: a tooth-specific procedure without a tooth.

Warnings never block you. You decide. They're there so nothing slips through on a busy day.

Checking and saving

  1. Click Review and save. The Check this visit page shows the whole visit in plain words, and what won't be saved (for example an item with a problem).
  2. If there's a treatment plan, answer Did the patient agree to this plan? (the Patient's decision). That decides whether the plan is recorded as accepted or as proposed for later.
  3. Click Back to the draft to fix anything, or Confirm and save.

Saving creates all the records in one go. Either everything is saved or nothing is, so you never end up with half a visit.

After saving

The Visit saved page shows:

  • Payment for this visit: the estimate from your service prices.
    • Collect payment: record what the patient pays now (Paid in full, or an amount and Payment method).
    • Bill now, collect later: create the bill and leave it unpaid.
    • If billing isn't part of your role: "the front desk can bill this visit". Today's completed work goes to the front desk as Ready for billing.
  • Consent forms for today's treatment: sign on screen, or mark Signed on paper.
  • View visit to open the saved records.

Ready for billing (front desk)

Completed work from Quick Visit appears on the front desk's Ready for billing card. Choose Bill only, or enter the Amount collected to bill and record payment together. Items already billed show Already billed.

Undoing a visit

Saved the wrong patient, or the visit didn't happen? On the saved visit, click Undo visit and confirm.

Today's procedures, prescription, plan items, next-visit booking and new medical alerts are cancelled. The consultation stays as the record that the patient was seen.

One device at a time

A visit can be open on one device at a time, so two people can't change it at once. If it's open elsewhere (say, the doctor's phone), you'll see "A visit can be open on one device at a time" with a Take over button. Taking over moves the visit to your screen.

Working on several patients

The chair bar at the top lets you juggle chairs:

  • Next patient starts another Quick Visit while this one stays open.
  • Open visits lists your unfinished visits (also shown as Ongoing Quick Visits on the start page). Pick one to continue.

Unfinished visits are kept, so closing the browser loses nothing.
