Setting up your clinic

A step-by-step checklist to take a new clinic from first sign-in to its first patient.

ForClinic Admin

This guide is for the Clinic Admin. Set aside about an hour. You can stop at any point; everything is saved as you go.

Your dashboard shows a Setup checklist until the clinic is ready. Each item has a Fix link that takes you to the right page:

ItemWhat "done" means
ServicesYou have the treatments you offer in your service list
PricesEvery active service has a price
MedicinesYou have the medicines you prescribe in your list
DoctorsAt least one doctor profile exists
Working hoursEach doctor has a weekly schedule, so patients can be booked
Consent formsYou have at least one consent form template

When everything is ticked, the card says Clinic is ready.

Step 1 — Check your clinic profile

Go to Clinic Settings → Profile. The clinic name, phone, WhatsApp number, email and address here print on every invoice, prescription and letter, and appear on your clinic website.

Then open Clinic Settings → Preferences and check:

  • Timezone (normally Asia/Kolkata), Currency (INR) and Date format.
  • Default slot duration for new appointments.
  • Invoice number prefix (for example SDC-) and the Default GST % for new services.

All of these are explained in Clinic settings.

Step 2 — Add your services and prices

Your service list is what you plan, perform and bill. The fastest way to build it:

  1. Go to Services and click Add from catalog.
  2. Tick everything your clinic offers. The list already has the common dental treatments, with the names dentists actually use.
  3. Type your price next to each one. To give several services the same price, tick them and use Same price for all ticked.
  4. Save.

Add anything missing with Add Service. See Services and prices.

Step 3 — Add your medicines

Go to Medicines. Add the medicines you prescribe most, with strength, dosage form, route and default instructions. Your Clinic24x7 onboarding team may already have filled this in from the standard list. See Medicines.

Step 4 — Add your doctors

Every dentist needs two things: a user account (to sign in) and a doctor profile (registration number, qualification and so on, so they can be booked).

  1. Go to Doctors → Add Doctor.
  2. Under User account, choose Create new user, or pick an existing user with the Doctor role.
  3. Fill in Registration number (for example your DCI number), Qualification, Experience, Consultation duration and Specializations.
  4. Save.

If you treat patients yourself, add a doctor profile for your own account too.

Step 5 — Set working hours

Open each doctor and, under Weekly availability, click Add availability:

  1. Tick the Day(s) of week. Pick Monday to Saturday in one go if the hours are the same.
  2. Enter the start and end time in 24-hour format (10:00, 13:30).
  3. Add a second window for an evening shift (for example 17:00 to 21:00).

Without working hours, a doctor can't be booked. See Doctors and schedules.

Go to Consent Form Templates → Add Template. Write the consent text once, using placeholders such as {{patientName}} and {{procedureName}}, and reuse it for every patient. Start with root canal and extraction. See Consent forms.

Step 7 — Add your staff

Go to Users → Add User for each receptionist and any other staff. Choose their Role. They get a welcome email to set a password. See Staff accounts.

Step 8 — Decide on automatic WhatsApp messages

Clinic24x7 can remind patients about appointments, follow up no-shows, ask for Google reviews, recall unfinished treatment, and more. Each one has an on/off switch in Clinic Settings → Preferences. Read Automatic messages and switch on the ones you want.

Go to Clinic website, fill in a tagline, opening hours, photos and testimonials, and click Publish my page. Patients can then find you on Google and send appointment requests straight into your Leads. See Your clinic website.

Step 10 — Bring in your existing patients (optional)

If your patients are in a spreadsheet or another system, go to Patients → Import and upload a CSV. See Importing patients.

You're ready

Register a patient, book an appointment, and run a visit with Quick Visit or Start Visit. The rest of the docs explain each step in detail.
