The Appointments page

Appointments lists every booking. Filter by doctor and status, and open any row for the full appointment page.

The dashboard shows today's work:

  • Today's Schedule: a calendar with one column per doctor, colour-coded by status.
  • Today's Front Desk Queue: everyone due today, with Check In for confirmed patients and Continue Visit for patients already checked in.

Confirming

When the patient confirms on the phone or WhatsApp, open the appointment and click Confirm. The mobile app's Tomorrow's appointments list has a Confirm button and a WhatsApp shortcut for working through tomorrow's patients quickly.

Checking in

When the patient arrives, click Check In in the Front Desk Queue (or on the appointment) and confirm "Mark ‹name› as arrived and checked in."

Check In appears once an appointment is Confirmed. For a patient who walks in without confirming first, the quickest way is Start Visit: it confirms and checks in for you in one step.

Doctors can't check patients in. That's a front-desk job.

Starting and completing

  • Start moves a checked-in appointment to In Progress. A consultation can only be started for a patient who is checked in, which keeps records honest.
  • Complete closes the appointment once the visit is done. Completed appointments become read-only.

Quick Visit and Start Visit handle these steps for you as you work through the visit.

Rescheduling

  1. Open the appointment and click Reschedule.
  2. Pick the new date and time (free slots are shown) and save.

You'll see "Appointment rescheduled." The appointment keeps its history. The old time is freed immediately.

Editing details

Edit changes the type, source or notes without moving the time.

Cancelling

  1. Click Cancel, optionally type a Reason, and confirm.
  2. The appointment becomes Cancelled and the slot is free.

Cancelling can't be undone. If the patient changes their mind, book a new appointment.

Recording a no-show

If a confirmed patient doesn't turn up, click No Show. No-shows stay in your records for attendance reports.

If no-show follow-up is switched on in Clinic Settings, the patient automatically gets a friendly WhatsApp message shortly afterwards, inviting them to rebook. See Automatic messages.

Continue Visit

Continue Visit (on the dashboard queue and the appointment page) opens the Start Visit wizard at whatever step this appointment has reached: check-in, consultation or follow-up. It's hidden once the appointment is completed, cancelled or a no-show.
