Importing patients from a spreadsheet

Move your existing patient list into Clinic24x7 from Excel, Google Sheets or another system.

ForClinic AdminReceptionist

If your patients are in Excel, Google Sheets, a register or another software, you can bring them in together instead of typing each one.

1. Prepare a CSV file

Export or save your list as CSV (in Excel: File → Save As → CSV UTF-8). One row per patient, with a header row.

Not sure about the columns? On Patients → Import, click Download a template and copy your data into it.

Columns Clinic24x7 understands:

ColumnRequiredNotes
Full name✓Also recognised as "Name", "Patient name"
Gender✓Exactly Male, Female, Other or Prefer_not_to_say (any capitals). Short forms like "M" or "F" are not accepted, so replace them in the file first
Mobile country code✓For example +91. Add a column with +91 in every row if your file doesn't have one
Mobile number✓The number without the country code, for example 9876543210
Date of birthAlso "DOB", "Birth date"
WhatsApp numberIf different from mobile
Email
City, State, Postal code, Country
Emergency contact name, relationship, mobile
Preferred language
Referred by
Administrative notes

Other columns are fine. You can tell Clinic24x7 to ignore them.

2. Upload and map columns

  1. Go to Patients → Import.
  2. Upload the CSV. You'll see "Reading file…".
  3. On Map columns, Clinic24x7 has matched what it recognised. Check each row: your CSV column, an Example value from the file, and what it Maps to. Change anything wrong. Set columns you don't need to Don't import.
  4. Click continue.

3. Review before importing

Review before importing shows what will happen. Nothing has been created yet. You'll see:

  • Total rows
  • Will be created: new patients
  • Already exist: matched to a current patient (same name and mobile) and skipped, so importing twice doesn't make duplicates
  • Have errors: rows that can't be imported (for example a missing name or a bad phone number), with the reason

Click Back to mapping to fix the mapping, or fix the file and upload again. When you're happy, confirm.

4. Watch it finish

A progress bar shows the import running. Large files take a minute or two. You can leave the page and come back. At the end you'll see any Rows that failed and why. Click Done — view patients.

Patients brought in by import don't have a consent record in Clinic24x7, because they gave consent (if at all) under your old system. They're treated as not yet captured. Record consent at their next visit from Data consent (DPDP) → View consent history on their page. See Patient consent.
